Executive Personal Assistant
Purpose of the Job: This role is to provide a professional, executive PA service to a senior executive in the bank. This is an important role supporting them in running a dynamic and changing section of the business.
This is a very involved and faced paced role which will involve networking and building relationships quickly with contacts in many other parts of the business. The candidate must be used to supporting more than one senior level director and be happy to provide support to other directors or managers when required.
Main Responsibilities • Provide pro-active support by ensuring the smooth running of the executives office and managing their working environment. Great communication skills are also required • To prepare confidential and sensitive correspondence, reports, statistical data and other documentation using word processing, desktop publishing, spreadsheet and database systems. • Maintain up-to-date filing systems (physical and email) and ensure provision of accurate and up-to-date information. • Prepare communication materials, charts, presentations and visual. • Assist in the preparation of meetings and conference materials. • Diary Management, booking flights and hotels. • Dealing with correspondence and queries in Executives absence. •Liaising with members of the Executive’s team. • Organize meetings, conferences, workshops and other business related events. • Ensure information on the intranet / website is up-to-date and relevant. • Pro-actively prepare information for distribution across different communications channels - internal publications, the intranet, meetings, conferences, presentations etc within required timescales • Ensure compliance with Group policies and regulatory requirements • Screening all calls • Liaise with other departments within the company • Creating reports & presentations • Any adhoc duties as required
Major Challenges: To handle the administrative and support tasks for the department independently based on judgement and experience with minimum of guidance from the immediate superior. To be flexible and adaptable in a changing environment. To be able to work under pressure. To have strong inter-personal skills in liaising with various departments. The job holder is in possession of very confidential and sensitive information relating to the bank policies, procedures and personnel and should be able to handle this in a skillful and strictly confidential manner
Skills
• Knowledge of Arabic is highly desirable • Strong organizational skills with the ability to prioritize, meet deadlines and manage multiple tasks simultaneously • Ability to liaise and communicate at all levels i.e. with Board members,senior management etc • Ability to maintain strict confidentiality at all times. • High initiative • High attention to detail • Two to five years experience as a Senior Level Personal Assistant. • Use of Office products - Powerpoint, Word, Excel, Advanced Word, Excel, Microsoft Outlook, Internet. • Proven ability in time and diary management and the ability to adhere to strict deadlines is essential |
